General Terms & Conditions of Business

These Terms & Conditions govern all quotations, bookings, vehicle rentals, chauffeur services, transport services, shuttle operations, and related mobility services provided by Travel1 Group ("the Company"). Acceptance of any quotation, invoice, booking confirmation, or service constitutes acceptance of these Terms & Conditions.

1. Definitions

  • Company means Travel1 Group.
  • Client means the individual, company, organisation, or entity making the booking.
  • Vehicle means any motor vehicle supplied by Travel1 Group.
  • Booking means any confirmed reservation accepted by Travel1 Group.
  • Rental Period means the agreed duration for which the vehicle or service is provided.

2. Quotations

  • 2.1 All quotations are subject to vehicle availability.
  • 2.2 Quotations remain valid only for the period specified on the quotation.
  • 2.3 Rates may change without prior notice until a booking has been confirmed in writing.
  • 2.4 Additional services requested after quotation acceptance may attract additional charges.

3. Booking Confirmation

A booking shall only be regarded as confirmed once:

  • The quotation has been accepted.
  • The required deposit or payment has been received.
  • Written confirmation has been issued by Travel1 Group.

The Company reserves the right to decline any booking at its discretion.

4. Payment Terms

  • 4.1 Unless otherwise agreed in writing, a 50% non-refundable booking deposit is required to secure all reservations.
  • 4.2 The remaining balance must be paid before commencement of the service unless alternative credit terms have been approved.
  • 4.3 Corporate account clients shall adhere to the payment terms stated in their Service Level Agreement.
  • 4.4 Interest may be charged on overdue accounts to the maximum extent permitted by South African law.

5. Security Deposit

Where applicable, a refundable security deposit may be required for self-drive rentals.

  • Traffic fines;
  • Vehicle damage;
  • Excess insurance liability;
  • Fuel shortages;
  • Cleaning costs;
  • Missing equipment;
  • Administrative charges.

Any remaining balance will be refunded after inspection and reconciliation.

6. Chauffeur Services

  • 6.1 Chauffeurs remain employees or authorised representatives of Travel1 Group.
  • 6.2 Clients shall not instruct chauffeurs to violate any traffic legislation or operate vehicles in an unsafe manner.
  • 6.3 Waiting time beyond the agreed itinerary may be charged at the Company's prevailing hourly rate.
  • 6.4 Overnight accommodation and meals for chauffeurs on multi-day trips may be charged to the Client where applicable.

7. Self-Drive Rentals

Clients must:

  • Hold a valid driver's licence.
  • Present valid identification.
  • Be legally permitted to operate the vehicle.
  • Operate the vehicle responsibly and in accordance with South African road traffic legislation.

The Client shall not permit any unauthorised person to drive the vehicle.

8. Vehicle Use Restrictions

  • Racing or speed events;
  • Illegal activities;
  • Carrying dangerous or hazardous goods without written approval;
  • Driver training;
  • Towing unless authorised;
  • Off-road driving unless approved in writing.

9. Client Responsibilities

The Client shall:

  • Return the vehicle in substantially the same condition in which it was received.
  • Report accidents immediately.
  • Report mechanical faults without delay.
  • Not smoke or vape inside any Company vehicle.
  • Be responsible for damage caused by passengers.

10. Fuel, Tolls and Parking

Unless specifically included in the quotation:

  • Fuel remains the Client's responsibility for self-drive rentals.
  • Toll fees are payable by the Client.
  • Parking charges are payable by the Client.
  • Congestion charges, permits and access fees remain for the Client's account unless otherwise agreed.

11. Insurance and Liability

Travel1 Group maintains insurance on its fleet subject to policy terms and excesses.

  • Insurance excess where applicable;
  • Damage resulting from negligence;
  • Damage arising from breach of these Terms.

12. Accidents and Breakdowns

In the event of an accident:

  • The Client must notify Travel1 Group immediately.
  • Police must be notified where required by law.
  • No admission of liability may be made without the Company's written approval.

The Company will provide reasonable assistance in arranging recovery or replacement where possible.

13. Cancellations

  • More than 14 days before service: Deposit may be transferred once, subject to availability.
  • 7–14 days before service: Up to 50% of the booking value may be charged.
  • Less than 7 days before service: Up to 100% of the booking value may be charged.
  • No-shows: 100% of the booking value is payable.

14. Delays

  • Traffic;
  • Weather conditions;
  • Road closures;
  • Civil unrest;
  • Mechanical failures beyond reasonable control;
  • Government restrictions;
  • Force majeure events.

15. Lost Property

Travel1 Group accepts no responsibility for personal belongings left in its vehicles.

Recovered items will be retained for collection where reasonably practicable.

16. Right to Refuse Service

Travel1 Group reserves the right to refuse or terminate services where:

  • Passengers behave abusively;
  • Illegal conduct occurs;
  • Safety is compromised;
  • Payment obligations have not been fulfilled.

17. Indemnity

The Client indemnifies Travel1 Group against claims, losses, damages, liabilities, costs, or expenses arising from the Client's negligence, misuse of Company vehicles, breach of these Terms, or unlawful conduct.

18. Force Majeure

Travel1 Group shall not be liable for failure or delay in performing its obligations due to events beyond its reasonable control, including natural disasters, strikes, pandemics, civil unrest, government actions, power failures, or other unforeseen events.

19. Governing Law

These Terms & Conditions shall be governed by and interpreted in accordance with the laws of the Republic of South Africa.

20. Entire Agreement

These Terms & Conditions, together with any quotation, booking confirmation, Service Level Agreement, or written agreement issued by Travel1 Group, constitute the entire agreement between the Company and the Client.
